Meeting Role - Toastmaster

The Toastmaster acts as a genial host and meeting chair.  The Toastmaster introduces meeting participants, to excite audience and to motivate them to listen.  The Toastmaster's goal is to create a warm supportive atmosphere for learning and practicing positive communication and leadership skills. 

Prior to the meeting: 

  • Pick a meeting theme. In some Clubs, the VP, Education selects the theme.
  • Assign roles and contact the meeting participants to confirm
  • Prepare an agenda and distribute by email
  • Contact speakers to find out their speech title, manual project number, purpose to be achieved, time requested, and an introduction that helps attendees "get to know" the speakers.

Upon arrival at the meeting: 

  • Arrive early
  • Check with VP Education and Club President on last-minute details
  • Give agenda to Sergeant-at-Arms for distribution.
  • Sit near the head of the table.

During the meeting:

  • Be sincere, warm, energetic and decisive. 
  • Always lead the applause before and after each section
  • Give a brief introductory address
  • Welcome guests
  • Review and adjust agenda, as needed
  • Introduce and thank all participants as outlined in agenda
  • Ensure that someone is always at the lectern
  • Provide a smooth transition between participants/sections of the meeting
  • Invite guest comments (do not apply pressure)
  • Close the meeting by formally "adjourning" the meeting.
